Terms and Conditions

Payments

This proposal is valid for 45 days. After this period, the prices quoted may be subject to revision and change.

All the items are subject to availability at the time of booking.

The reservation of all the items is only confirmed upon payment of 50% of the total amount.

The remaining 50% must be paid up to 7 days before the event date.

The booking payment is non-refundable.

If the event is canceled within 6 months prior to the event date, the client will be responsible for the full payment of the quoted amount.

Reductions in the contracted quantities will only be accepted up to 15 days before the event date.

All amounts are subject to VAT at the legal rate.

BC reserves the right to cancel the contracted event if the client does not comply with the conditions mentioned above (IBAN: PT50 0033.0000.45514031250.05 — VITORIASSERTIVA LDA, MILLENIUM BCP, SWIFT: BCOMPTPL).

Cleaning

It is the client’s responsibility to ensure the proper use of the rented items during the event.

In the case of adverse weather conditions, it is the Client’s responsibility to ensure that the items are not exposed to rain or other unfavorable conditions until they are collected by the BC team.

If, in response to the previous point, the Client requests an early collection to prevent damage to the items, BC may organize this collection for an agreed fee.

If any items are missing or damaged, the Client will be responsible for the cost of replacement or repair.

BC will have up to 15 days from the date of collection or delivery of all the items to provide feedback on their condition.

Cleaning of the Event venue is not the responsibility of BC.

Logistics

The cost of this service will depend on the type and quantity of items selected.

The cost of this service will also depend on site access.

Setups hours are from 9:00 AM to 6:00 PM on weekdays.

If setups are scheduled between 12:00 p.m. and 2:00 p.m., the client is responsible for ensuring that meals are provided for BC staff. If meals are not provided, BC will charge a fee of €15.00 per staff member.

The above condition shall also apply to furniture relocations carried out during the meal periods of 12:00 p.m. to 2:00 p.m. and 7:00 p.m. to 9:00 p.m.

The number of staff meals required will be confirmed during the week of the event.

Any changes must be communicated in advance, and the cost may be subject to revision.

If, during setup or teardown, BC encounters difficult access conditions that were not previously communicated as set out above, an additional fee will be charged corresponding to the extra time, staff and resources required, which will be quantified and communicated to the Client and added to the final invoice.

In the event of adverse or unforeseeable weather conditions during the Event (including, but not limited to, strong winds, heavy rain, storms, or other natural phenomena), BC Planning & Rentals shall not be held liable for any damage or loss to the hired items or to the venue resulting, directly or indirectly, from such conditions, and the Client shall remain responsible for the replacement or repair cost of any damaged items.

BC Planning & Rentals undertakes to install and secure all hired items with due care and in accordance with good industry practice. It cannot, however, guarantee the stability, safety, or integrity of any equipment, furniture, decorative elements, or structures under such conditions. During the Event, it is the Client’s responsibility (or that of whoever manages the Event on site) to close, store, or protect the items — namely parasols, light tents, and decorative elements — whenever conditions so require, or alternatively to request early collection by BC under the terms set out above.

Information duty

It is the Client’s responsibility to inform BC in advance of the access conditions at the Event venue (stairs, absence of an elevator, distance between the loading/unloading point and the space, and traffic or parking restrictions and their schedules).
